We are inviting expressions of interest from someone within our VCFSE sector to facilitate a gentle, inclusive wellbeing activity as part of our Celebration of Collaboration: Big Meet Autumn event, taking place during Mental Health Awareness Month.
The purpose of this session is simple: to give people who work so hard for others a protected hour to pause, breathe, relax, express themselves and pour back into their own cup. We know that working in the VCFSE sector can be rewarding, but also emotionally demanding, stretched and stressful. This is our way of giving something back and creating space for people to look after themselves, not just their organisations or communities.
What We Are Looking For:
We would like to hear from facilitators, practitioners, artists, community workers or organisations who can offer an indoor group wellbeing activity that is calm, accessible and welcoming for a mixed group of attendees.
The activity could include, for example, creative expression, mindfulness, gentle movement, breathing, sound, journalling, reflective practice, craft, sensory activity, relaxation or another approach that supports people to feel grounded and restored.
We are particularly interested in activities that:
- Are suitable for an indoor event setting;
- Can be delivered to a group in around one hour;
- Are inclusive of different abilities, mobility levels and confidence levels;
- Do not require people to stand, move around or participate physically unless they choose to;
- Create a sense of calm, reflection, self-expression or gentle connection;
- Feel safe, low-pressure and appropriate for people who may be tired, stretched or carrying emotional weight from their work;
- Can be adapted where reasonable adjustments are needed.

Expected Group Size:
- Likely to be a maximum of 15 people, although this can be reduced if a smaller group would make the activity safer, calmer or more effective. Audience: People working, volunteering or leading within the VCFSE sector
Budget / Offer:
- A fixed fee of £350 is available for this activity, inclusive of facilitation, preparation and any materials required. The wider event is about recognising the value of collaboration and the people who make it possible. We want the wellbeing activity to sit alongside that spirit: generous, inclusive, human and grounded in the reality of sector life.
What the Facilitator Would Need to Provide:
- A short description of the proposed activity and how it supports wellbeing.
- How the activity will be inclusive for people with different ability, mobility, sensory or confidence needs.
- Any space, equipment, materials or set-up requirements.
- Any preferred group size, including whether the activity works best with fewer than 15 people.
- Details of relevant experience, qualifications, insurance or safeguarding considerations, where applicable.
- The activity must be delivered on 23 October 2026 and be deliverable within the fixed offer of £350, including facilitation, preparation and any materials required.
How We Will Consider Expressions of Interest:
We will look for an activity that feels values-led, inclusive and realistic for the event environment. We do not need something polished or performance-based; we need something thoughtful, safe and accessible that gives attendees permission to slow down and reconnect with themselves.
Expressions of interest will be considered against the following:
- Fit with the purpose of the wellbeing session;
- Accessibility and inclusion for different needs;
- Experience of holding safe and supportive group spaces;
- Practical fit with an indoor event setting;
- Connection to, or understanding of, the local VCFSE sector.

- How the session will support people to relax, express themselves or achieve a sense of calm.
- How you would make the activity inclusive for different abilities and mobility needs.
- Any practical requirements, including space, equipment, materials, preferred group size or support from the event team.
- Confirmation that you are available to deliver on 23 October and can deliver the activity within the fixed £350 offer, including any materials and preparation time.
- Any relevant experience of facilitation, wellbeing work or working with community / VCFSE groups.
